Transparent franchise fees, matched on both sides
Royalties, marketing fund fees, technology fees, initial franchise fees and supply revenue are calculated, invoiced and recognized automatically in Acumatica. Each fee invoice is recorded as an expense and payable on the franchisee side in S4 F&B, so both parties always match.

Why franchise accounting goes wrong
Many chains open franchise stores but keep accounting as if every store were company-owned.
Franchisees booked as branches
Partner retail sales end up in the franchisor’s books, inflating revenue and distorting cost of goods sold.
Fees calculated in Excel
Dozens of stores and contract formulas make every fee cycle slow and error-prone.
Money crossing parties
Delivery app collections, gift cards, vouchers and loyalty points are easily booked as revenue by mistake.
No channel P&L
Fee revenue, supply margin and partner support costs are mixed into one set of numbers.
Six revenue lines for the franchisor
Each fee has its own calculation and recognition timing. Separating them shows leadership how much profit the franchise channel really generates.
| Revenue line | Common basis | How the solution handles it |
|---|---|---|
| Initial franchise fee | Fixed, one-off | Recorded as unearned revenue and allocated per the company’s accounting policy |
| Royalty | Percentage of sales, possibly with a minimum or tiers | Calculated from POS sales per contract formula, invoiced monthly |
| Marketing fund fee | Percentage of sales | Inflows and spending tracked separately, reported transparently to partners |
| Technology, software fee | Fixed per month or per store | Recurring invoicing |
| Training, opening fee | Per service package | Recognized when the service is completed |
| Supply revenue | Franchise price list | Recognized on delivery, tracked by channel |
Specific recognition policies, especially for initial franchise fees, should be agreed with the company’s auditors.
Royalties calculated every period
The fee cycle is no longer a multi-day manual exercise. Every figure traces back to source sales.
From each store’s POS
Each store’s sales flow into Acumatica every period, not self-reported figures.
Apply contract terms
Percentage of sales, minimums, tiers or fixed fees per contract.
Partner approves
The partner confirms the fee statement before invoicing, reducing disputes.
In bulk
Acumatica invoices the whole network, with e-invoices.
Recorded automatically
Invoices become expenses and payables in S4 F&B.

Money that crosses parties
Cash is often collected in one place while the service obligation sits in another. These amounts are tracked through clearing accounts and settled automatically each period instead of being booked as revenue.
Delivery app collections
The platform pays one party while the order is served at a franchise store.
Gift cards
Sold at a company store but redeemed at a franchise store, or the reverse.
Vouchers, chain promotions
Funded by the franchisor but discounted at the store.
Loyalty points
Earned in one store and redeemed in another.
Two channels, two profit measures
With data classified correctly at the source, leadership gets two separate reports without manual consolidation.
Company-owned channel
- Measured by per-store P&L.
- Retail sales and recipe-based cost of goods.
- Labor, rent and operating costs.
Franchise channel
- Fee revenue plus supply margin.
- Less partner support: training, marketing.
- Less network operating costs.
Where the chain has several legal entities, such as a brand company, a central kitchen company and an operating company, Acumatica adds multi-company accounting and consolidation on the same system.
Franchisees are set up as customers with credit limits and franchise price lists; company stores are set up as branches. Franchisee retail sales are statistical data for fee calculation only and never enter the franchisor’s books. The store’s accounting records belong entirely to the partner.
