Replacing Excel in chain management

Excel is a great analysis tool. It was not built to be the operating system for dozens of stores, several entities and hundreds of people entering data.

Warning signs

Six signs Excel is overloaded

Excel is not wrong. It is just not an operating system.

01

Many versions of one file

Recipes, price lists and stock exist in several versions.

02

Late data

Stores send files at day or week end; consolidation takes hours.

03

Edited formulas

One broken formula skews chain-wide reports unnoticed.

04

No audit trail

No record of who changed what, when or why.

05

Manual consolidation

Group reports assembled from each entity’s files.

06

Key-person dependency

Only a few people understand the file structure.

FAQ

Frequently asked questions

Do we lose flexibility replacing Excel with ERP?
No. Acumatica has custom reports, dashboards and Excel and Power BI connections. The difference is that source data lives in one system with permissions and audit trails.
How is existing Excel data moved?
Recipes, item and supplier lists and balances are cleansed and loaded into Acumatica, a chance to standardize item codes and units across the chain.
Can store staff use it?
Yes. Counts and receiving run on the mobile app; at An Nhien Cafe, new staff needed about 30 minutes of training.
Where do we start?
Usually with recipes, counts and per-store P&L, where Excel causes the largest food cost gaps.
