Migration · F&B chains

From accounting software to ERP

Accounting software keeps a company compliant. ERP gives leadership operational control. With many stores, entities and investors, the question is no longer whether tax reports can be produced.

Warning signs

Six signs a chain has outgrown its accounting software

The accounting software is not wrong. It was built to answer a different question.

01

Food cost known only at month-end

Cost is calculated at close; stores never see recipe variances during the day.

02

Inventory and recipes in Excel

Recipes, counts and waste are managed outside the accounting system.

03

Consolidation in Excel

One database per entity, group reports assembled by hand each month.

04

Only head office uses the system

Stores, warehouses and kitchens send data on paper and chat for re-entry.

05

Investors ask different questions

Per-store P&L, IFRS and figures traceable to source documents.

06

Long closes

Intercompany and inventory reconciliation take days every period.

Vietnam compliance

Vietnamese accounting standards are no longer a differentiator

Many companies choose local software for peace of mind on accounting and tax. With S4 localization, Acumatica meets these requirements in full, so the real question becomes which system helps leadership run the chain better.

FAQ

Frequently asked questions

How long does a move from FAST, BRAVO or MISA take?
It depends on scope and entity count. At An Nhien Cafe, the project started on May 12, 2025 and went live in about 3 months. S4 sets the roadmap after a current-state assessment.
Do we run both systems in parallel?
S4 recommends at least one accounting period in parallel to reconcile balances, receivables, payables and inventory before going live.
Do accountants need to relearn everything?
Not much. Acumatica has a Vietnamese interface and Circular 99 reporting. The biggest change is that data flows from operations instead of being re-entered.
When is the best time to switch?
The start of a fiscal year or quarter, after closing the prior period, so opening balances are clean.
