One integrated solution, not separate modules
Every capability below belongs to the same solution, running on one Acumatica platform and one data model. Chains roll out in phases, without buying and stitching separate software together.
Acumatica F&B Edition by S4
An ERP solution for F&B chains designed by S4 Consulting on Acumatica Cloud ERP: chain operations, finance, Vietnam compliance and leadership data in one system.
Streamlined IT
One cloud platform replaces scattered software, cutting infrastructure, maintenance and the hours spent reconciling data between systems.
Real-time management
POS, inventory, kitchen, banking and e-invoicing connect to Acumatica, so leadership sees food cost, stock and P&L as they happen.
Ready for AI agents
The built-in AI Assistant answers questions on ERP data; the Acumatica MCP Server lets AI agents such as Claude and ChatGPT query data within user permissions.

ERP in the hands of stores and kitchens
Most F&B chain leakage happens in storerooms, kitchens and stores, where staff do not sit at a computer. The Acumatica WMS mobile app takes inventory work to where it happens: scan barcodes with a phone or handheld scanner, and data reaches the ERP in real time, tied to the person and the moment.
- Receiving at the storeScan barcodes against the purchase order and check quantities and units as goods arrive.
- Central kitchen to store transfersTransfers are done on mobile; when the kitchen and store are separate entities, the intercompany transaction is recorded automatically.
- Issues to the kitchenRecord ingredients issued to the kitchen at the storeroom, with food cost posted to the right store.
- End-of-day countsCount by ingredient group with multi-unit barcodes: case, pack, bottle, can.
- Stock lookupCheck stock by warehouse and location on the phone, without calling head office.

One solution, designed for each chain model
One platform and one dataset, with a different management focus for each chain model. Choose the model closest to your organization.
Coffee & bubble tea chains
Beverage chain margins depend on per-cup recipes, fresh ingredient waste and counting discipline.
Restaurant & QSR chains
Restaurant chains scale sustainably when every location shares the same recipes, processes and P&L measures.
Bakery chains
A bakery chain is both a manufacturer and a retailer.
Multi-brand groups
When a group runs several brands, companies and a franchise network, the question is no longer how much it sells, but how much profit each brand and each entity really generates..
Diversified groups
One platform for F&B, distribution, manufacturing, construction and services.
Franchise chains
One platform for the franchisor, one for franchise partners, connected automatically..
Central kitchen & supply companies
When a central kitchen supplies dozens of stores, franchisees and B2B customers, it needs to be managed like a plant: production planning, cost per batch, traceability and its own P&L..
Acumatica F&B Edition: one integrated ERP
A US-built cloud ERP for multi-store, multi-entity F&B groups: consolidated finance, standard recipes and processes, and supply chain control from the central kitchen to every location. POS data flows straight into the ERP so food cost and P&L update every day.

From point-of-sale transactions to consolidated reporting
Four steps run automatically every day across the chain, so leaders see actual food cost instead of estimates.
Sell at the POS
Counter transactions are recorded by store and shift and synced to Acumatica.
Backflush ingredients
The system deducts ingredients by recipe, size and topping, creating book stock.
Daily count
Staff count with the mobile app and barcodes; the system compares physical and book stock.
Per-store P&L
Revenue, cost and expenses reach dashboards by store, region and chain.
Managing chains to US standards
Acumatica is a cloud ERP built by a US company headquartered in Washington State. In the US, restaurant franchise groups such as BLD Brands run 143 restaurants on Acumatica with one chart of accounts, one fiscal calendar, standard recipes and P&L down to every store. That is the model S4 brings to F&B chains in Vietnam.
Multi-entity, chain-wide consolidation
Every company, region and store is a unit on the same system. Intercompany transactions between the central kitchen and stores post on both sides, and consolidated reports need no Excel merging.
Standard recipes across the chain
One standard recipe for every store. Compare theoretical food cost with actual cost after counts to find the store, shift or item that is off.
P&L down to every store
Revenue, food cost, labor and operating costs split by store (four-wall P&L), ranking locations by profit rather than revenue alone.
Budget versus actual
Budgets by store and region, with monthly variance tracking so area managers act early.
Internal controls
Role-based permissions, approval workflows for purchasing and expenses, and audit trails. Opening a new store means replicating a proven process, not starting over.
One system for the whole organization
Unlimited users: everyone from stores, warehouses and kitchens to the office works on the same data, controlled by permissions rather than license limits.

The data architecture of an F&B group on Acumatica
Instead of stitching many separate applications together, data from every location and partner flows through one integration layer into a single ERP platform, then becomes reporting and AI-ready data for leadership.

F&B groups often run several models at once. The ERP structure should reflect how the chain owns, manages and measures each location from day one.
Stores operated by the company
- Each store is a P&L unit
- Recipes, prices and permissions by store
- Budgets and actuals by region
A network of franchisees
- Supply franchisees from the central kitchen
- Track receivables and franchise fees by contract
- Standard recipes and processes across the network
Groups with several companies and brands
- Reporting by brand, channel and entity
- Intercompany transactions posted on both sides
- Group-level consolidated reporting
Multi-entity and consolidation: the biggest difference from fragmented software
Large F&B chains rarely have one legal entity: a brand-holding company, a central kitchen company, and companies running stores or franchises. With separate accounting software per company, every intercompany transaction is entered twice and consolidated reports are assembled in Excel. Acumatica manages an unlimited number of related companies in one system.
Central kitchen
Produces semi-finished goods and transfers them to stores owned by another company.
Intercompany transaction
The transfer creates the intercompany transaction, with due-to and due-from entries on both sides.
Store operating companies
Food cost, intercompany payables and P&L land in the right entity.
Consolidated reporting
Intercompany transactions eliminated automatically, with drill-down from group to each company.
| Process | Common approach with separate software per company | Acumatica F&B Edition by S4 |
|---|---|---|
| Legal entities | One database per company; a new company means another system | Unlimited related companies in one system, sharing chart of accounts, periods and currencies where needed |
| Intercompany transactions | Entered twice in two companies, intercompany balances matched at month-end | Due-to and due-from entries created automatically; a purchase order in one company can create a sales order in another |
| Transfers between entities | Manual issue notes, receipts and internal invoices | Transfers between warehouses of different companies generate intercompany transactions, keeping each company’s reports accurate |
| Centralized purchasing and payments | Each company buys and pays on its own | One company buys or pays on behalf of others while costs and profit stay with the originating company; shared costs allocated by rules |
| Consolidated reporting | Export each company to Excel, merge and eliminate by hand | Consolidated statements with automatic intercompany elimination and drill-down from group to company |
| Multi-currency | Manual conversion when reporting to a foreign parent | Exchange rates and automatic currency conversion with consistent reporting across entities |
| Control | Permissions per database | Permissions by company and branch; period close per company; audit trails |
Multi-entity capabilities as described by Acumatica: Acumatica Inter-Company Accounting. The “common approach” column describes the situation where each entity runs its own accounting software.

Control ingredients where loss actually happens
Loss in F&B chains usually comes from over-portioning, unrecorded voids, spills and inconsistent handling. Acumatica moves recording to where it happens: the bar, the kitchen and the store room. Staff scan barcodes on a phone, and the system converts units and updates stock immediately.
When book stock by recipe is compared with physical stock every day, managers see which shift, item or store is drifting right away instead of at month-end. This is how An Nhien Cafe uses daily counts to keep drink quality consistent.
