Management needs

What does a franchise F&B chain need to manage?

The franchisor does not manage franchisees’ books, but must control everything tied to its brand and cash flow. Without any of the items below, growth becomes hard to sustain as outlets multiply.

NeedWhat the franchisor must knowWhy it matters
SalesRevenue by day, item and channelBasis for royalty and marketing fees, and for spotting under-reporting
Brand standardsMenu, prices, recipes, approved promotionsProtects a consistent brand experience
SupplyOrder volume, frequency, mandatory itemsSupply revenue and ingredient quality control
ContractsTerm, territory, fee levels, minimum commitmentsTimely invoicing and renewal alerts
ReceivablesBalances, aging, credit limitsLimits collection risk on goods and fees

Franchisees need something different: sales, inventory and accounting strong enough for daily operations and tax compliance, at a cost suited to one or a few outlets. Enterprise ERP is usually a burden for small partners, while disconnected software cannot link to the franchisor.

Solution architecture

Two platforms, one integration layer

The solution has four layers: chain-wide shared services, Acumatica for the franchisor, S4 F&B for franchise outlets and chain-wide reporting.

Franchise outlets share only the data agreed in the franchise contract with chain-wide reporting.

Acumatica Cloud ERP for the franchisor

Where the franchisor manages finance, the central kitchen, the main warehouse and both front of house (FOH) and back of house (BOH) at company-owned stores. Acumatica is also the chain’s master data source: items, recipes, prices, menus and the supply catalog, so every store follows one standard.

S4 F&B for franchise outlets

A complete operating platform for franchise partners: counter sales, inventory, recipes, ordering, accounting and e-invoicing. It is preconfigured to each brand’s standards and locks brand-controlled data, while the accounting books belong entirely to the partner.

Chain-wide shared services

Loyalty, gift cards, vouchers, chain promotions and delivery app connections are called by both platforms in real time. Customers earn points at a company store and redeem them at a franchise outlet, and vice versa, without noticing two systems.

Separating goods and cash

Separating goods and cash flows

The core principle is to distinguish company-owned and franchise stores from the master data onward.

Company-owned store

  • A branch of the franchisor.
  • Goods arriving are internal transfers.
  • Retail revenue is recorded in the franchisor’s books.

Franchise store

  • A customer and an independent legal entity.
  • Goods delivered are invoiced sales.
  • Retail revenue is statistical data for fee calculation only, never booked by the franchisor.

Money that crosses parties, such as delivery app collections, gift cards, vouchers and chain-wide loyalty points, is tracked through clearing accounts and netted automatically between the two sides each period, instead of being recorded as revenue by mistake.

Supply flow

How does supply between franchisor and franchisee work?

Franchisee

Order in S4 F&B

Purchase orders are created at the outlet from the brand’s supply catalog.

Franchisor

Sales order in Acumatica

The purchase order becomes a sales order after a credit limit check.

Delivery

Automatic invoice and receipt

Sales invoice and goods receipt with lot and expiry created on the outlet side.

Confirmation

Outlet confirms quantities

Differences become adjustment requests.

Mandatory ingredientsBought from the franchisor at franchise prices.
Approved supplier itemsMay ship directly to the outlet, still within the controlled catalog.
Opening equipmentFor new outlets, per the brand’s package.

Lot traceability lets the franchisor recall quickly in a food safety incident.

Franchise revenue

How is franchise service revenue recognized?

Each fee has its own calculation and recognition timing. The solution automates everything from fee calculation to invoicing.

FeeCommon basisHow the solution handles it
Initial franchise feeFixed, one-offRecorded as unearned revenue and allocated per the company’s accounting policy
RoyaltyPercentage of sales, possibly with a minimumCalculated automatically from POS sales per the contract formula, invoiced monthly
Marketing fundPercentage of salesInflows and outflows tracked separately, transparent to partners
Technology, software feeFixed per month or per outletRecurring invoices
Training, opening feesPer service packageRecognized on completion
Supply revenueFranchise price listRecognized on delivery, separated by channel

Fee invoices issued from Acumatica are recorded automatically as expenses and payables on the franchisee side, so both parties always match.

Reconciliation & fraud prevention

How are reconciliation and fraud prevention handled?

Because both sides record on the same set of documents, receivable and payable reconciliation between franchisor and franchisee is nearly automatic.

Sales vs royalty invoices

Each outlet’s POS sales against fee invoices issued.

Receivables vs cash

Receivables against bank receipts by partner.

Collections vs payables

Delivery app collections against amounts payable to partners.

Marketing fund

Marketing fund collected against spent, transparent to partners.

The most valuable reconciliation

Compare ingredients an outlet bought with the theoretical quantity from recipes multiplied by items sold. A large gap signals under-reported sales or off-catalog purchasing. Combined with POS controls such as locked invoice deletion, audit trails on voids and discounts, promotions only configured by the franchisor, and benchmarking similar outlets, the franchisor spots anomalies early instead of waiting for periodic audits.

Benefits

What does the solution deliver for franchisors and franchisees?

For the franchisor, the greatest value is controlling the whole network on real figures instead of self-reports. For partners, S4 F&B is a complete operating system preconfigured to brand standards, priced for one or a few outlets, with accounting data that belongs to the partner.

FAQ

Frequently asked questions

Must franchisees use the same ERP as the franchisor?
No. A franchise outlet is an independent legal entity with its own accounting. In S4’s solution, outlets use S4 F&B, connected automatically to the franchisor’s Acumatica for transactions between the two.
Can the franchisor see franchisees’ accounting books?
No. The franchisor receives only the data agreed in the franchise contract, usually sales and some operating metrics. Accounting books and internal data belong to the partner.
How are royalties calculated automatically?
Each outlet’s POS sales flow into Acumatica each period. The system applies the contract formula, such as a percentage, a minimum or tiers, asks the partner to confirm, then issues invoices in batch.
Does it suit household businesses holding a franchise?
Yes. S4 F&B supports cash-register e-invoices and is designed for small companies and household businesses. Specific accounting scope is confirmed against current regulations at rollout.
How long does it take to open a new franchise outlet in the system?
S4 F&B is preconfigured to each brand: menu, recipes, item catalog and the franchisor connection. A new outlet mainly declares its entity, store and users, so it goes live much faster than a new system rollout.
