Localization package · VN Payroll

One payroll for every F&B workforce group

VN Payroll is the payroll module S4 built on Acumatica as part of its localization package for Vietnam. Hourly part-timers, piece-rate central kitchen workers, drivers paid per trip and head office staff on 3P pay each keep their own structure, yet run on the same time data and the same general ledger.

The challenge

F&B payroll is many pay structures at once

Head office runs one kind of payroll. An F&B chain can run nine kinds in the same period.

01

Many structures in one period

Hourly, monthly, piece-rate, per-trip and seasonal pay run side by side in the same company.

ConsequenceSeparate spreadsheets per group, formulas hard to control.
02

Rates change by time band

Peak hours, night shifts, weekends and holidays carry different rates and multipliers for the largest group of staff.

ConsequenceManual errors concentrate in the largest payout.
03

Bonuses tied to operations

Store manager bonuses depend on each location’s revenue, profit, food cost and shrinkage.

ConsequenceFigures in another system delay bonuses and invite disputes.
04

Staff move between locations

Staff cover other stores and the central kitchen supplies the whole chain, so cost must land where it occurs.

ConsequencePer-store P&L is wrong on the labor line.
HR pays correctly, accounting posts at once.
Leadership sees labor cost for every store.
Pay structures

Nine workforce groups, one payroll system

The structures below reflect how F&B chains in Vietnam commonly organize pay. Every chain has its own policies, so S4 configures earnings, allowances and rules to the company’s policy during discovery.

Workforce groupIncome componentsIn VN Payroll
01

Store part-timers

Hourly pay

Servers, cashiers, baristas and kitchen helpers, often students. Usually the largest group, around 50-70% of store staff.

  • Hourly rate times actual hours worked
  • Rates by time band: regular, peak, night, weekend, holiday
  • Service charge or tips
  • Attendance and upsell bonuses

Hours come from time clocks or timesheets by shift and store. Each time band is an hour type with its own rate; night and holiday hours apply the statutory multipliers.

02

Store full-timers

Fixed monthly pay + bonus

Permanent staff, shift leaders, cooks, senior baristas.

  • Monthly salary by grade and step
  • Position, meal, working-condition and night-shift allowances
  • Overtime under the Labor Code
  • Store KPI bonus split by position coefficient

Pay structures and allowances are managed by effective date, so a grade change needs no formula change. Overtime follows day type and night shift; the store KPI bonus enters the pay period by configured position coefficients.

03

Store managers

Base pay + store KPI bonus

Store Manager, Assistant Manager, head chef. Base pay is typically around 60-80% of total income.

  • Bonus on store revenue and profit
  • Bonus on food cost and shrinkage
  • QSC score, mystery shopper, staff turnover
  • Profit sharing or profit contracts at some chains

Revenue, profit, food cost and shrinkage come from the per-store P&L in Acumatica, the same figures accounting uses. QSC and mystery shopper scores are added as inputs to the bonus.

04

Area managers

Base pay + area KPI bonus

Area Manager, Operations Manager.

  • Base pay
  • Fuel and phone allowances
  • Bonus on combined results of assigned stores
  • Bonus on new store opening progress

Area results roll up from the assigned stores in the same system. New store opening progress is tracked in the Projects module against each location’s investment budget.

05

Seasonal staff

Daily or hourly pay

Extra staff for Tet, holidays, events and openings on short-term contracts.

  • Daily or hourly rate
  • 10% PIT withheld on payments of VND 5 million or more each time
  • No withholding when the worker files a valid income commitment
  • Year-end list reported to the tax authority

Payments to people without a labor contract or with a contract under 3 months are calculated from timesheets, separate from the regular payroll. The threshold and rate are parameters with effective dates.

06

Central kitchen, processing

Time-based + piece-rate pay

Prep, processing and packing workers.

  • Monthly or per-shift pay
  • Piece rate by output: kg, portions
  • Bonus on shrinkage rate
  • Quality and food safety bonus

Output comes from central kitchen production orders in Acumatica. Shrinkage compares standard and actual usage in the same system, so the bonus basis needs no separate consolidation.

07

Logistics, internal delivery

Time-based + per trip or order

Drivers, warehouse staff, delivery staff.

  • Base pay
  • Allowance per trip, km or order
  • On-time delivery bonus

Trips and orders can be matched to transfer and shipment documents in Acumatica and enter the pay period as rate-based earnings.

08

Head office

Monthly pay + KPI bonus

Accounting, HR, marketing, purchasing, IT, menu R&D.

  • 3P pay: position, person, performance
  • Quarterly and annual bonus, 13th-month pay
  • Commission for banquets, catering, B2B, vouchers

Position, person and performance pay are separate earnings managed by effective date. Commission is based on banquet, catering and B2B sales recorded in Acumatica.

09

Interns, apprentices

Probation pay, allowances

Probationary staff, apprentices, student interns.

  • Probation pay of at least 85% of the job’s salary
  • Apprentice and intern allowances by agreement

The probation rate is tied to the contract. On confirmation, the new salary applies from its effective date without re-creating the employee record.

The 50-70% and 60-80% ranges are common patterns, not survey data. Tax and insurance rules checked as of October 2026. The level of automation for each rule is confirmed during discovery.

Data flow

From hours worked to store P&L

Payroll stops being a month-end spreadsheet and becomes a continuous data flow in Acumatica.

Time

Hours by shift and store

Time clocks, timesheets, leave and overtime are recorded by shift and location.

Operating inputs

Output, trips, KPIs

Central kitchen production orders, transfers and store P&L drive piece-rate pay and bonuses.

Payroll

Earnings, insurance, tax

Each group follows its own structure; compulsory insurance, PIT, advances and deductions are calculated.

Posting

Entries by cost center

Payroll cost posts to the ledger by account, store, kitchen, warehouse and department.

Reporting

Labor cost by location

Per-store P&L reflects actual labor cost and compares across locations.

FAQ

FAQ

Does VN Payroll handle hourly pay for part-timers?
Yes. Hours come from time clocks or timesheets by shift and store, and each band (regular, peak, night, weekend, holiday) is configured as an hour type with its own rate.
Where do store manager KPI figures come from?
Revenue, profit, food cost and shrinkage come from the per-store P&L in Acumatica, the same source accounting uses. QSC or mystery shopper scores are added as inputs.
How is PIT withheld for seasonal staff?
From July 1, 2026, under Decree 253/2026/ND-CP, payments of VND 5 million or more each time to people without a labor contract or with a contract under 3 months are subject to 10% withholding unless the worker files a valid income commitment.
Can the standard Acumatica Payroll be used in Vietnam?
Acumatica’s standard Payroll module is designed for the US and Canada. VN Payroll is S4’s module for Vietnamese labor, insurance and tax rules, running on the same Acumatica platform.
Does payroll cost reach per-store P&L?
Yes. Payroll entries post to the ledger by account and cost center, so labor cost lands on the store, central kitchen, warehouse or department where it occurs.
